AccessTime has a simple model: free for up to 10 people with every feature included, and beyond that a single annual subscription per active employee, with the first year free.

The free plan and what happens beyond 10 people

On the free plan you can have up to 10 active people. When you try to add the eleventh — manually or with the importer — the platform will warn you that you've reached the limit.

If your company ends up over the quota without a subscription (for example, after a previous subscription expires):

  • The first 10 people by start date keep operating as normal.
  • The rest switch to read-only mode: those people can log in and view their data, but they can't clock in until the company subscribes.

Nothing is ever deleted. Not entries, not absences, not employees. As soon as you activate the Pro plan, everyone is back up and running instantly.

Activating the Pro plan (first year free)

Only the company administrator role can manage billing (HR can't).

  1. Go to Billing (side menu). You'll see your current plan, the number of active employees and the price per employee per year.
  2. Click Subscribe (first year free). We take you to the secure Stripe checkout.
  3. Enter a card. It's set up for the renewal, but nothing is charged during the first 12 months.
  4. Back in the panel you'll see the active subscription and the end date of the free year.

You can cancel at any time from the billing portal, including before the trial year ends, at no cost.

How the amount is calculated

  • The subscription is annual and billed per active employee: the subscription quantity is your number of active people on the platform.
  • Automatic monthly adjustment: on the 1st of each month the platform syncs the billed quantity with your actual workforce. If you hire or offboard people, there's nothing to do — it adjusts on its own.
  • Only active people count: employees deactivated in Employees stop counting at the next adjustment.

Stripe billing portal

From Billing → Manage card and invoices you can access the Stripe customer portal, where you can:

  • Change your card or payment method.
  • Download your invoices.
  • Cancel the subscription.

We don't store your card details: all payments are handled by Stripe.

VAT

The prices you see in the panel are VAT-exclusive. The tax is calculated at checkout with Stripe Tax, based on your company's country, and shown itemised on each invoice.

Frequently asked questions

  • Can I try it before importing my whole workforce? Yes: start on the free plan with up to 10 people and, once you're sure, activate Pro (first year free) before or after importing.
  • What happens if a payment fails? The subscription status appears in Billing as "Payment pending"; go to the portal and check your payment method.
  • Do I lose data if I cancel? No. You'll go back to the free plan: the first 10 people remain fully operational and the rest become read-only, with all their history intact.
